Preparations for collaborating with external parties.

Introduction 👋

With fynk, you can share documents, collaborate, and digitally sign them with external parties. To ensure everything runs smoothly, a few preparatory steps are recommended.


Preparation Tips

Use templates

The easiest way to make sure your documents contain all necessary information is to work with templates. A template acts as a framework where you define what content should be included in the final document.

Add dynamic fields

Within the template, you can insert dynamic fields, and define whether external parties are allowed to edit them. These fields serve as placeholders, can manage conditions, and be linked to relevant metadata.

Add party placeholders

Add placeholders for any external parties in your template, such as "Customer", "Employee", or "Supplier". You don’t need to enter specific names yet – these can be filled in later during document creation.

Add signature blocks

Once parties are added, you can insert signature blocks at the appropriate places in the document.


Prepare the document for collaboration

📄 Create the document

Use your completed template to generate a document with all required fields, placeholders, and content.

✏️ Edit the document

Now fill in the dynamic fields with the specific information relevant to this document:

Replace placeholders with the actual names and data of the involved parties:

Add the signatories and place the corresponding signature blocks.

💡 Tip: Don’t forget to save your changes and exit edit mode once you’re done.


👥 Share the document

Once editing is complete, the document moves into the "Review" phase. Now you can share it externally:

  • Click "Share externally"

  • Enter the recipient’s email address

This feature is ideal if you want to:

  • Involve people who aren’t direct parties or collaborators, but need to give feedback or approval

  • Let direct parties or collaborators review the document before inviting them to sign

📌 Example: Your compliance team (not fynk users) needs to give final approval before the document is shared with stakeholders.

Note: Signatories are notified via email once the document enters the signing phase. You don’t need to share the document with them unless they should review it first, add comments, or suggest changes.

❌ Revoke access:

If you’ve shared the document with external viewers who are not parties or collaborators, you can revoke access at any time to maintain full control.


Collaborate within the document

💬 Comments & Feedback

Start discussions with external parties and contributors who have access to the document:

  • Post general comments or tag specific people

  • Choose whether the comment is visible to everyone or internal only

External parties can:

  • Reply with comments

  • Propose changes to specific terms or sections

You decide whether to accept or reject proposed changes. All open and resolved discussions remain visible for full transparency.


✍️ Start the signing process

Once all changes and comments have been addressed, you can begin the signing phase:

  1. Click "Start signing process"

  2. If there are multiple signers, you can set a signing order

  3. All signatories receive an email requesting their signature

After signing: All signatories automatically receive the signed copy by email.


📝 Need to make chances after signing started?

Sometimes you realize changes are needed after the signing process has already begun. That’s not a problem:

  • Click "Re-enable editing"

  • fynk will display a warning that existing signatures will be invalidated

All signatories will be notified of the cancellation via email. You can then edit the document and restart the signing process.
