📗 What are playbooks?
Playbooks are predefined review templates that help you automatically identify whether the document meets certain criteria. You can create as many Playbooks as needed to cover all your document review use cases.
📍Where to start?
Start by reviewing the different types of documents you handle in fynk. For each type, define the key elements you want to check — such as clauses, requirements, or legal references. If your organization already uses a checklist for document reviews, that’s the perfect place to begin.
💡Ask your colleagues who work with these documents for additional input — they may know what else should be included in the checks.
🛠️ Creating a Playbook in fynk
To create a Playbook in fynk:
Click on the [+] button
Enter a name and an optional description
⚙️ Adding Conditions
Each Playbook consists of individual conditions — these are the rules your document must meet.
To add conditions to your specific playbook, click on "Add condition"
Example: Checking Employment Contracts
Let’s say you want to ensure certain clauses are present in your employment contracts:
Enter the name of the condition (e.g., "Start of the employment")
Set the implication:
Red flag: If this condition is missing, the Playbook fails
Orange flag: If missing, it’s marked as a warning
Write a clear prompt
Click on "Generate optimized prompt"
💡fynk’s AI evaluates conditions as yes/no — so wording is crucial. Instead of “Term XY is relevant,” use “Term XY must be clearly stated in the document.”
To continue with our example of the employment contract, we now add the "start of employment" as a condition with the implication of a red flag if it is missing:
Repeat these steps for each condition.
➡️ You can rearrange the condition order later via drag & drop.
✅ Adding Checkpoints (optional)
If your Playbook also needs an approval process, you can set up checkpoints.
Click “Add Checkpoint”
Configure:
The required approvers
Number of approval steps
How many must approve:
All approvers
Two of them
One approver
💡Please note: If you have created Checkpoints as part of your Playbook, the approval(s) must be completed in order to proceed with your document. So only create checkpoints if you really need them.
📄 Applying a Playbook to a Document
Once your Playbook is ready, you can use it during document review:
Open your document
Click the [flag icon]
Choose “Apply Playbook”
Select the appropriate Playbook:
The analysis will run and highlight:
Red flags for critical issues
Orange flags for warnings
In our example for the employment contract, the analysis shows some red flags:
➡️ Click “Red flags found” to review the details. You’ll see all conditions — marked red (missing) or green (fulfilled).
🔍 Click “Show Reference” to jump to the relevant section in the document. The corresponding prompt will be displayed below.
♻️ Re-applying the Playbook
After editing the flagged sections in your document, reapply the Playbook to verify everything is now in place.
🛡️ Starting the Checkpoint
Once the Playbook is successfully applied, start the approval checkpoints.
After final approval:
The document moves to the next stage
The archive logs the approval
If signatories and signature blocks are in place, you can now start the signing process
