Formulate your prompts efficiently and save AI credits

Introduction 👋

Clear prompts help the AI Assistant understand your task more quickly and reach the desired result with as few steps as possible. This not only leads to more precise answers, but can also help avoid unnecessary AI actions and therefore additional credit usage.

In this article, we’ll show you how to formulate your prompts as efficiently as possible and how small changes can often make a big difference.


🎯 Be as specific as possible about your goal

The more clearly the AI Assistant understands what you want to achieve, the more precisely it can process your request.

Try to avoid very general requests that may require additional questions or search steps.

Less specific:

“Show me contracts.”

Better:

“Show me all supplier contracts that expire within the next 30 days.”

In the second example, the AI Assistant already knows:

  • the document type you’re looking for

  • the relevant time period

  • the desired result

This allows your request to be processed more efficiently.


🧩 Include relevant information right away

If you already know which document, party, or time period your request refers to, include this information directly in your prompt.

Instead of:

“Change the contract value.”

The AI Assistant may first need to determine which document and which value you mean.

Better:

“Set the contract value in the document ‘Master Service Agreement - Demo Inc.’ to €12,000.”

💡 Tip: Information such as the document name, contracting party, document type, time period, status, or desired value helps the AI Assistant reach the right result more quickly.


📦 Combine related tasks when it makes sense

If several changes relate to the same document or task, you can often combine them in a single prompt.

Instead of several individual requests:

“Set the contract value to €12,000.”

“Add John Doe as a signatory.”

“Set the expiration date to December 31.”

Try:

“Update the document ‘Master Service Agreement - Demo Inc.’ as follows: Set the contract value to €12,000, add John Doe as a signatory, and set the expiration date to December 31.”

This gives the AI Assistant the full context at once.

💡 Note: The actual number of credits used depends on the AI actions required to process your request. A longer prompt therefore does not automatically use more credits.


🔍 Narrow down your search from the start

Especially for search requests, it helps to include relevant filters directly in your prompt.

Possible criteria include:

  • document type

  • contracting party

  • status

  • responsible person

  • time period

  • tags

  • metadata

  • signature status

Example:

“Show me all customer contracts.”

is less specific than:

“Show me all active customer contracts with a contract value above €10,000 that expire this year.”

The clearer your search criteria are, the better the AI Assistant can determine which information is actually needed.


💬 Use the existing conversation context

You don’t need to repeat all information in every message.

The AI Assistant takes the context of your current conversation into account. If you want to refine an existing result, you can simply build on it.

For example:

“Which contracts expire next month?”

↓

“Only show me customer contracts.”

↓

“Sort them by expiration date.”

This lets you refine a result step by step without having to formulate a completely new request each time.


🆕 Start a new chat for a new topic

If you switch to a completely different task, we recommend starting a new chat.

This keeps the context clear and allows the AI Assistant to focus entirely on your new request.

Example: If you’re currently analyzing a contract and then want to create a new NDA, it’s best to start a new chat for that task.


🚫 Avoid unnecessary test requests

Every successful chargeable AI action may use credits.

Before sending your request, briefly ask yourself:

What result do I actually want to receive?

If your prompt already contains all relevant information, the AI Assistant can often process your task more directly.

Instead of asking one question after another:

“Can you find supplier contracts?”

“Which of them expire this year?”

“Which of them have a value above €20,000?”

you can ask directly:

“Show me all supplier contracts with a contract value above €20,000 that expire this year.”


✅ A simple prompt formula

For many tasks, you can use this simple structure:

Action + object + criteria + desired result

For example:

Action: Show me
​Object: all supplier contracts
​Criteria: that expire within the next 90 days
​Result: sorted by expiration date

This becomes:

“Show me all supplier contracts that expire within the next 90 days, sorted by expiration date.”

Or for an update:

Action: Update
​Object: the document “NDA - Demo Inc.”
​Criteria: contract value and signatory
​Result: contract value €15,000 and Jane Doe as signatory

This becomes:

“Update the document ‘NDA - Demo Inc.’: Set the contract value to €15,000 and add Jane Doe as a signatory.”


💡 Good to know: Prompt length does not determine credit usage

You don’t need to keep your prompts artificially short.

In fynk, AI credit usage depends on the AI actions that are carried out, not on how many words your prompt contains.

A slightly longer but clear prompt can therefore be more efficient than several short requests sent one after another.

💡Tip: Don’t try to write as little as possible - describe what you want to achieve as clearly as possible. 🎯


👀 Review planned actions

If the AI Assistant wants to make changes that require your confirmation, it will show you the planned actions before carrying them out.

Use this preview to check whether the Assistant understood your request correctly.

For example, if the wrong document was selected or you want to make a different change, you can adjust your request before confirming the action.

Search for documents

❌ “Show me contracts.”

✅ “Show me all customer contracts from Demo Inc. that have not yet been signed.”

Retrieve information

❌ “When does the contract expire?”

✅ “When does the contract ‘Master Service Agreement - Demo Inc.’ expire, and does it renew automatically?”

Update documents

❌ “Change the metadata.”

✅ “In the document ‘NDA - Demo Inc.’, set the contract value to €15,000 and assign Jane Doe as the responsible person.”

Use multiple criteria

❌ “Which contracts do I need to review?”

✅ “Show me all supplier contracts that expire within the next 60 days and are currently assigned to Jane Doe.”
