Having trouble keeping track of your tasks? No worries! With fynk, you can create tasks for yourself and your team to stay on top of contract-related actions – with clear deadlines and responsibilities. 🎉
Overview
Each task includes a creation date and a due date, ensuring no important deadlines are missed. Tasks can be linked to specific documents, templates, imports, or automations, keeping context clear. You can also add a detailed description for extra guidance.
You can either create a task immediately by selecting a due date or automate it to be triggered later — for example, as a reminder before or after a specific date.
Tasks can be assigned to one or multiple users, with the option that either all assignees or only one needs to complete the task.
To ensure accountability, fynk sends notifications via in-app alerts or email, keeping users informed and on track. You can customize your notification preferences in your profile.
Task creation 🛠️
Tasks can be created immediately or automated for later, based on date-type metadata in a document. To create a task from the sidebar, go to the [Tasks] menu
and click the [Create task] button in the top right of the opened window:
To create tasks directly from a document or template, navigate to the [Notifications] tab on the right, switch to the [Tasks] tab, and click [Create task].
Create immediately
If you want to create the task immediately, select one of the preset timeframes or set a custom date.
Then assign the responsible user(s) and decide whether all or just one person needs to complete it. Click [Create] to finalize the task.
Automate for later
If you want to automate your task, set a condition and choose a date-type metadata field like “Contract Start Date” as the due date.
You can then define if the reminder should trigger before or after that date and set a timeframe.
The task can be assigned to all document members or filtered recipients. Include or exclude users as needed, and choose whether all or just one must complete the task. Click [Create] to confirm.
Automations for custom metadata
A particularly helpful feature is the automatic task creation based on custom metadata of the type “date”. Once you’ve linked a task to a specific date field and fynk recognizes this metadata, the tasks are generated automatically — whether you upload a single document or use bulk upload for several files.
💡Example: Imagine the terms of a contract with a supplier are valid for just one year. You want to be reminded automatically one month before it expires so you can renegotiate on time. No need to set reminders yourself — fynk takes care of it for you. Pretty handy, right? 🥳
System tasks 🔄
Certain actions in your document workflow automatically generate tasks:
Signature Required: When a signatory who is a user in your account is assigned, a task is created as soon as the document reaches the signing stage.
Checkpoint Approval Required: If a document reaches a checkpoint involving a user, they will automatically receive a task to review and approve it.

Incoming tasks: All upcoming tasks assigned to you
Outgoing tasks: Tasks you’ve created for yourself or others
Show completed tasks: Overview of finished tasks – time to celebrate your productivity 🚀
