How to use the Calendar integration

fynk’s calendar integration lets you bring document-related dates and tasks into your own calendar app, so you can keep track of important deadlines without checking the document calendar manually.

You can add a live calendar feed that stays in sync, or download a one-time .ics snapshot of the current calendar data.


⚙️ What the calendar integration does

The calendar integration allows you to sync dates from a fynk dashboard to an external calendar application.

You can create calendar feeds for:

Feed type

Includes

Tasks

Tasks linked to your documents

Contract key dates

Contract start dates, end dates, renewal dates, cancellation notice dates and expiration dates

Both

Contract key dates plus tasks

Calendar feeds are based on dashboards. This means the feed reflects the dashboard it was created from, including the filters set on that dashboard.

For example, if your dashboard only shows documents assigned to you, the calendar feed will only include calendar entries from those documents.

When dashboard filters are updated, the calendar feed reflects those changes as well.


🗓️ Add fynk dates to your calendar

To add a calendar feed, open the dashboard whose dates you want to sync and click the calendar feed icon in the dashboard calendar.

The dashboard you are currently viewing will be preselected automatically. You can still choose a different dashboard before creating the feed.

From there, choose whether you want to add:

  • Tasks

  • Contract key dates

  • Both

Then click Create link.

Once the link has been created, you can use the chain icon to open it with your default calendar app. In most cases, this is the easiest option and no manual setup is required.


⬇️ Live feeds and one-time downloads

fynk supports two ways of exporting calendar data.

Live calendar feed

A live calendar feed creates a subscribable iCalendar link. Once added to your calendar app, the calendar can update automatically when the underlying fynk calendar data changes.

The refresh frequency depends on the calendar application. For example, Apple Calendar on macOS lets you choose refresh intervals of up to every 5 minutes.

One-time .ics download

A one-time .ics download creates a snapshot of the current calendar data.

Use this option if you only want to export the current dates once and do not need future updates.


✔️ Supported calendar apps

The calendar feed uses the standard iCalendar format, so it may work with many calendar applications that support calendar subscriptions.

The following calendar apps have been tested:

Calendar app

Notes

Apple Calendar

Can usually be added directly via the chain icon if it is your default calendar app.

Google Calendar

Can be added manually via URL.

Outlook

Should be added via Outlook on the web. Events will then also appear in the Outlook desktop app.

Other calendar apps may also work, but have not been tested.


🛠️ When manual setup is needed

Manual setup is usually only necessary if you want to add the feed to a calendar app that is not your operating system’s default calendar app.

For example, if Apple Calendar is your default calendar app but you want to use Google Calendar or Outlook instead, copy the calendar feed URL and add it manually in the respective calendar app.

Add the feed to Google Calendar manually

  1. Copy the calendar feed URL from fynk.

  2. Open Google Calendar in your browser.

  3. Next to Other calendars, click +.

  4. Select From URL.

  5. Paste the calendar feed URL.

  6. Click Add calendar.

Google controls how often subscribed calendars are refreshed, so updates from fynk may not appear immediately.

Add the feed to Outlook manually

For Outlook, add the feed in the Outlook web app.

  1. Open Outlook on the web.

  2. Go to Calendar.

  3. Click Add calendar.

  4. Select Subscribe from web or From internet.

  5. Paste the calendar feed URL from fynk.

  6. Give the calendar a name.

  7. Click Import or Subscribe.

After the calendar has been added in Outlook on the web, the events will also be visible in the regular Outlook app.

Add the feed to Apple Calendar manually

  1. Copy the calendar feed URL from fynk.

  2. Open Apple Calendar.

  3. Go to File → New Calendar Subscription.

  4. Paste the calendar feed URL.

  5. Click Subscribe.

  6. Choose your preferred refresh interval.

  7. Save the subscription.

Apple Calendar also supports webcal:// links, which may open directly when using the chain icon in fynk.


💼 Manage existing calendar feeds

All calendar feeds you created can be found in your user settings.

Go to User settings → My calendar feeds to view and manage your feeds.

From there, you can:

  • copy an existing feed URL,

  • open a feed,

  • or delete a feed you no longer need.

Access and permissions

Calendar feeds respect your fynk access rights.

If you lose access to the dashboard used for a calendar feed, the calendar data will no longer be available through that feed.

This can happen, for example, if:

  • your role changes,

  • the dashboard is deleted,

  • your user is deleted,

  • you are removed from a team,

  • or you otherwise lose access to the documents shown in that dashboard.

This ensures that calendar feeds only expose data you are still allowed to access in fynk.
